Your Booking at a Glance

To ensure every tour runs smoothly and to the highest standard, we kindly ask guests to note the following:

  • A booking is secured with a deposit. You may cancel within 48 hours of payment for a full refund.

  • The remaining balance is due 20 days prior to your tour date.

  • Once the final balance has been paid, bookings are non-refundable.

  • Should you wish to reschedule, we will make every reasonable effort to offer an alternative date, subject to availability.

  • Guests are asked to arrive promptly at the agreed pick-up time.

  • Dietary requirements should be advised at least 7 days in advance.

  • Travel insurance is not included and is strongly recommended.

Bookings & Payments

Your reservation with Vine + Country Tours is confirmed once payment has been received and written confirmation issued.
Final balances must be settled no later than 20 days before departure to allow us to secure vineyards, catering, and transport.

Payments Clause

Payments
Payments are typically made by bank transfer.

For the convenience of international guests or where requested, we may be able to offer payment via a secure third-party payment provider, such as Stripe, to facilitate international transfers or card payments.

Please note that any charges applied by third-party payment platforms — including international transfer, processing, or administrative fees — are not covered by Vine + Country Tours and remain the responsibility of the guest.

The total amount received by us must match the invoiced amount in full. Any shortfall caused by third-party fees must be settled by the customer prior to confirmation of the booking.

Cancellations & Changes

We understand that plans can change. However, due to the nature of our tours and the advance commitments made with our partners:

  • Deposits become non-refundable after the initial 48-hour cooling-off period.

  • Once the final balance has been paid, bookings are non-refundable, including in cases of cancellation, illness, late arrival, or non-attendance.

  • Requests to reschedule may be considered, subject to availability. As our tours operate with limited dates and capacity, alternative dates cannot be guaranteed.

Exceptional Circumstances and Force Majeure

We accept no responsibility or liability for delays, changes, or cancellations caused by events outside our reasonable control, including but not limited to:

  • Severe weather conditions

  • Transport disruption or missed connections

  • Strikes or industrial action

  • Venue closures

  • Government restrictions or emergencies

In such circumstances, refunds are not guaranteed, and customers may remain responsible for costs already incurred.

Accessibility & Guest Comfort

Our tours involve vehicle transport, walking through vineyards, and visiting historic venues.
Due to transport limitations, we are unable to accommodate wheelchair users unless guests provide their own suitable transport and notify us in advance.

Guests with mobility concerns are encouraged to contact us prior to booking so we can advise appropriately.

Conduct & Enjoyment

Our tours are designed to be relaxed, sociable, and enjoyable. Guests are expected to drink responsibly and follow guidance from our hosts and partner venues.
For the comfort and safety of all guests, we reserve the right to refuse service or continue participation where behaviour becomes disruptive or unsafe.

Changes, Availability & Suppliers

Tours may involve third-party vineyards, restaurants, and suppliers.
If changes are required due to availability or operational reasons, we reserve the right to substitute venues or timings with suitable alternatives.

Such changes do not entitle customers to a refund.

Transport, Timings & Pick-Ups

  • Pick-up and drop-off locations are agreed in advance.

  • Changes to pick-up points must be requested at least 7 days prior to the tour and are subject to approval.

  • Tours run to a fixed schedule. Late arrivals may result in the tour departing without you, with no refund.

  • We are not responsible for onward travel arrangements or missed connections.

Health, Safety & Alcohol

  • Tours include wine tasting and alcohol consumption.

  • Guests must drink responsibly and comply with all instructions from guides, drivers, and venue staff.

  • We reserve the right to refuse service or remove any participant whose behaviour is unsafe, disruptive, or excessively intoxicated. No refund will be given in these circumstances.

  • No food or drink may be consumed on vehicles unless expressly permitted.

Dietary Requirements & Catering

  • Dietary requirements, allergies, and intolerances must be provided in writing at least 7 days before the tour.

  • We will pass this information to catering partners but cannot guarantee accommodation of late requests.

  • We accept no liability for allergic reactions where information was not supplied correctly or in time.

  • Outside food or drink is not permitted unless agreed in advance.

Liability & Insurance

  • Participation is at your own risk.

  • We are not responsible for loss, theft, or damage to personal belongings.

  • We hold appropriate public liability insurance; however, this does not cover personal travel insurance, cancellations, or personal losses.

  • Travel insurance is strongly recommended.

Photography & Marketing

We may take photographs or video during tours for promotional purposes.
If you do not wish to appear in such materials, please inform us in writing before your tour.

Complaints

Any issues should be raised with your guide during the tour where possible.
Formal complaints must be submitted in writing within 30 days of the tour date.
